Position: East Africa Production Admin Assistant
Employer: Bayer
Location: Nairobi, Kenya
Division: Crop Science
Reference Code: 891238
ABOUT THE OPPORTUNITY
Bayer is seeking a detail-oriented and proactive Production Admin Assistant to drive administrative excellence across East Africa's production operations. In this pivotal role, you'll be the backbone supporting our Production teams, ensuring seamless coordination of capital projects, procurement processes, budgets, and operational deliverables. You'll work alongside visionary teams dedicated to solving global challenges and creating real impact in agriculture and health. If you're motivated by meaningful work in a dynamic, collaborative environment, this is your opportunity to make a difference.
WHAT YOU'LL DO
Your core responsibilities will include coordinating production priorities across East Africa by aligning administrative workflows, calendars, and project timelines. You'll manage capital expenditure planning by consolidating investment requests, business cases, and approval documentation while tracking budgets, purchase commitments, and expenditure against approved plans. Your attention to detail will be essential as you flag variances and ensure corrective actions are implemented.
You'll handle all aspects of procurement administration—managing purchase requisitions, purchase orders, and approval workflows while maintaining complete records within company policy and approved budgets. Contract administration will fall within your purview, including production and tolling agreements, coordinating signatures, filing, and maintaining accurate records in our Contract Lifecycle Management System.
Additional responsibilities encompass coordinating management and project reviews, preparing agendas and minutes, tracking decisions through completion, and preparing comprehensive operational and financial status reports for leadership. You'll organize domestic and international travel logistics, including visas, accommodation, and transport coordination. Your organizational expertise will extend to managing SharePoint, Teams, distribution lists, and access permissions while maintaining confidential information security.
You'll also coordinate new employee onboarding, training logistics, and system orientation, serve as the primary administrative contact for various requests, and work collaboratively across Finance, Procurement, Legal, HR, and Operations to remove administrative barriers to business delivery.
WHAT WE'RE LOOKING FOR
You hold a bachelor's degree in Business Administration, Office Administration, Operations Management, or Supply Chain Management. You bring five or more years of administrative experience within production or supply chain environments, with proven analytical capabilities and proficiency in SAP and Microsoft Office Suite. Your communication skills are exceptional, and you excel at cross-functional collaboration.
Experience in the agricultural or seed industry is advantageous and will set you apart.
KEY WORKING RELATIONSHIPS
You'll collaborate closely with East Africa Production teams, Supply Chain, Warehousing, Toller Representatives, Quality Testing and Assurance teams, Finance and Cost Accounting, Supply Planning, Master Data teams, GEP and GBS teams, and external vendors.

Bayer welcomes applications from all individuals regardless of race, national origin, gender, age, physical characteristics, social origin, disability, union membership, religion, family status, and pregnancy.
